Van/car weekly checklist

If you provide company vans or cars you’re responsible for ensuring that they remain in safe working condition. In addition to routine maintenance, it’s advisable for staff to undertake a weekly check.

What’s covered?

When combined with regular servicing, repairs and MOTs, weekly checks ensure that vehicles remain in roadworthy condition. This not only reduces the risk of accidents but also ensures that problems are identified at an early stage, which should reduce maintenance costs. Therefore, many employers insist that drivers complete a document such as our Van/ Car Weekly Checklist.

How to implement weekly checks

Although we’ve included all the expected items, we suggest that you review the contents and tailor them according to your own needs. For example, you may have specific attachments to your vehicles which need to be monitored.

Provide a supply of forms for the employee to keep in the car. At the bottom of the document there’s space for you to specify where to return the form to on completion.

Alternatively, you could supply the form electronically for drivers to complete on a tablet or laptop.

Ensure that whoever receives the forms is instructed to action any problems identified. They should also check that drivers return them regularly as instructed.

Filling in the form

To save on paperwork there are five columns labelled “Week 1” to “Week 5”. These should be checked off once a week and form handed in at the end of the month. If any item is marked as defective or missing the driver is required to write details in the “Further information” box. They are also required to notify any urgent defects immediately to your designated manager.
